Working With a Custom Costa Rica Trip Planner
What does a custom Costa Rica trip planning company actually do?
A high-quality, custom trip planner has trustworthy, meaningful & established local relationships that they put to work for you to show you the best of the areas where you are visiting . A custom planner does the work you don’t have time (or local knowledge) to do yourself: building a day-by-day itinerary around your group’s interests, securing the right lodging for each leg of the trip, arranging in-country transportation and guides, and being available to help if anything changes along the way. Costa Rica Escapes has been designing trips like this since 2006. Everything except your international flights is planned and coordinated for you, based on a real conversation about what you want out of the trip.
Which Costa Rica trip planning companies actually have deep local expertise, not just a list of hotels?
Local expertise shows up less in the brochure and more in the details: knowing which roads wash out in green season, which lodges have changed management (and quality) since last year, and which guides actually have naturalist credentials versus a script. The Costa Rica Escapes team has lived and worked in Costa Rica’s eco-tourism and adventure travel industry since 2002 and has maintained high-quality relationships with lodging and activity partners. Because we’re based in Costa Rica, we know many of the properties we recommend firsthand. That’s how we keep recommendations current instead of recycled.
Does it cost anything to work with a Costa Rica travel planner?
Working with Costa Rica Escapes costs you nothing extra. There’s no planning or consultation fee, and the first conversation, itinerary planning and quotes come with no obligation. Travel planners are typically compensated through partnerships with the lodges, guides, and transportation providers we work with, relationships built over years of loyalty and repeat business. That means you get a fully planned trip, insider access, and a dedicated point of contact, often for the same price as booking everything piecemeal on your own.
How is working with Costa Rica Escapes different from booking through a big online travel site?
This is an apples-to-oranges comparison as online booking engines don’t provide insight, expertise or local knowledge. A booking engine is a pay-to-play model and will sell you a hotel room and nothing else. It can’t tell you that the “ocean view” room actually looks at a parking lot, or that the lodge you’re eyeing is a bumpy three-hour drive from your last stop. Costa Rica Escapes designs the whole arc of your trip, where you go, in what order, how you get there, and what you do once you arrive, so the pieces actually fit together. You’re working with people who’ve been to these places, not a search algorithm.
Pricing & What’s Included
Are Costa Rica custom trip planners upfront about pricing, or are there hidden fees?
This is one of the most common concerns we hear, and for good reason. Costa Rica Escapes believes in a personal approach to the itinerary design process. We start with a phone conversation to get to know the travelers and open the floor to any questions about how we work and operate. We have pre-negotiated contracts with our preferred partner properties and vendors throughout the country. These contracts are based on wholesaler pricing coupled with volume and performance. All of our trips are built as a packaged itinerary with a pre-formulated price that shows you exactly what’s included (lodging, private in-country transportation, the activities in your itinerary, daily breakfast and some lunches). Our custom itineraries typically start around $1,800 per person, and we walk you through exactly what that covers so there are no surprises once you’re on the ground. The only extras are tips, meals outside your itinerary and any activities you add later. There are a myriad of options and choices when designing a trip to Costa Rica. Costa Rica Escapes relies heavily upon established relationships in each area of the country so that only preferred partners in each area are used to ensure a top-quality experience at a valuable price point. See a full breakdown of what a Costa Rica trip costs.
What’s typically included in a custom Costa Rica vacation package?
Most Costa Rica Escapes itineraries include your lodging, all in-country ground transportation (and domestic flights when a trip calls for them), the guided activities and excursions in your itinerary, and daily breakfast, plus some lunches depending on your activities. Most dinners, tips, travel insurance and activities you add later aren’t included. Most travelers book their own international flights, often with miles or points, but we can arrange flights for an added per-person fee.
Is a custom trip planner only worth it for luxury travelers, or can it work for a more modest budget?
Custom doesn’t have to mean extravagant. Costa Rica Escapes designs trips across a range of comfort levels, from boutique eco-lodges to higher-end resorts, and part of our role is helping you get the most out of whatever budget you’re working with. In fact, working with a planner often saves money in the long run, because we can steer you away from an overpriced activity, a transportation option that wastes a day, or a hotel that isn’t what its photos suggest.
Custom Itineraries & Flexibility
Can a Costa Rica itinerary be built around our specific schedule, like school breaks or a tight two-week window?
Yes, that’s the whole point of a custom itinerary. Costa Rica Escapes starts by asking about your travel dates, the ages and interests of everyone in your group, and how much ground you want to cover. From there, we design a route that respects your time rather than cramming in stops just to check boxes. If you’re working around a school calendar, a short window between work obligations, or a milestone date like a honeymoon, we build the trip around that, not the other way around.
Can the itinerary be adjusted once the trip is already underway?
Plans change, weather shifts, someone in the group isn’t feeling up for a planned activity, or you discover you’d rather spend an extra half-day somewhere. Because Costa Rica Escapes works with on-the-ground partners directly, our itineraries have built-in flexibility, and your dedicated contact is reachable throughout the trip to help you make adjustments. We’d rather you swap a hike for a hot springs afternoon than push through a day that isn’t working for your group. Let us know as early as you can, since last-minute changes depend on availability and on whether a service is already confirmed or paid for.
What if our group wants a mix of relaxation and adventure rather than an all-or-nothing trip?
That’s actually the most common request we get, and it’s one of the things custom planning solves well. A typical Costa Rica Escapes itinerary blends a few days of activity, rainforest hikes, wildlife tours, white-water rafting, zip-lining, with stretches built for slowing down on the beach or at a hot springs resort. We pace the trip so no one comes home needing a vacation from their vacation.
How far off the beaten path can a custom itinerary go?
As far as you’d like. Costa Rica has plenty of well-trodden routes between Arenal, Manuel Antonio, and Guanacaste’s beach towns, and there’s a reason they’re popular. But if you want to get further out, places like the Osa Peninsula, Tortuguero, or other off-the-beaten-path regions are absolutely within reach with the right local guides and lodging partners. The Costa Rica Escapes team can also walk you through our guide to lesser-visited corners of the country with you when building your trip.
Lodging & Accommodations
How do you choose which hotels and lodges to include in an itinerary?
We don’t work off a static list. Our team is based in Costa Rica, so we know many of the lodges and hotels we recommend firsthand, and we stay in close touch with our hotel partners, because management, quality, and amenities can change quickly in Costa Rica. We’ve seen properties that weren’t what they used to be, which is exactly the kind of surprise we want to spare you. The result is a lodging lineup that reflects what a property is actually like today, not three years ago.
Do you work with eco-lodges and boutique properties, or mostly large resorts?
Both have their place, but Costa Rica Escapes specializes in boutique eco-lodges and smaller properties that put you closer to the rainforest, the coastline, or local culture, the kind of stay that’s hard to book well on your own. We can also explain a property’s sustainability practices and eco-certifications when that matters to you, and weave in larger resorts where they genuinely fit your group’s needs. For luxury trips, we also book branded resorts such as Four Seasons, Westin or Andaz when that’s what you prefer. You can browse our overview of lodging types in Costa Rica for a sense of the range.
Will the best lodges already be booked by the time we plan our trip?
It’s a real concern, especially during peak travel windows. Costa Rica’s tourism numbers have grown significantly in recent years, and the best small properties book up early. Because Costa Rica Escapes maintains ongoing relationships with our lodging partners, we often have access to availability that isn’t visible through general booking sites. Starting the planning process early gives us the best shot at securing your top choices. Most travelers book 4-6 months ahead, and for Christmas and New Year’s we recommend starting 10-12 months ahead. In high season, we also suggest slightly off-the-beaten-path areas like Turrialba and the Pacuare River, Drake Bay or the Caribbean coast, where hotels have more availability and crowds are smaller.

Personal Support, Before and During Your Trip
Will I actually talk to a real person, or just fill out an online form?
You’ll talk to a real person, and we’d encourage it. The Costa Rica Escapes planning process starts with at least one phone conversation (plus follow-up emails) where your travel consultant asks about your group, your interests, and your must-haves before drafting a proposed itinerary. We’ve found that a quick phone call early on saves everyone time later, because it surfaces the details that a form alone tends to miss. A phone call is a required part of our planning process, so please include your phone number when you reach out.
Do we get a dedicated point of contact, or are we passed around to different people?
When you book with Costa Rica Escapes, you’re paired with a dedicated travel consultant who works with you from your first conversation through booking, and who often stays your point of contact while you travel. About a week before departure, they’ll send you a detailed itinerary packed with reservation confirmations and on-the-ground tips, what to pack, where to eat, how much to tip, that sort of thing. While you’re in Costa Rica, you also have an in-country host, and our team is available 24/7 for emergencies.
What kind of support is available once we’re actually in Costa Rica?
Support doesn’t end when you board your flight. Your Costa Rica Escapes travel consultant, your in-country host and our local team remain reachable throughout your trip, with 24/7 availability for emergencies, so if a flight gets delayed, a road closes, or your plans simply shift, you have someone who knows the country and your itinerary to help you adjust, not a call center reading from a script.
Safety, Logistics & Peace of Mind
Is Costa Rica safe for families and first-time international travelers?
Generally, yes, Costa Rica is one of the more stable, tourism-friendly countries in Latin America, and millions of families visit safely every year. That said, like any destination, it has areas and situations that call for awareness, from road conditions to petty theft in tourist areas. We cover this in detail in our guide to Costa Rica safety and crime, and Costa Rica Escapes builds itineraries with safety and comfort in mind from the start, with vetted transportation, trusted guides, and lodging in areas we know well.
What happens if there’s an emergency or something goes wrong mid-trip?
Because your trip is coordinated by a planner who knows the country, and not assembled from disconnected online bookings, there’s always someone to call, including after hours for emergencies. The Costa Rica Escapes local team can help with everything from a missed connection to a medical concern, and we can point you toward appropriate travel insurance options before you go, so you’re covered for the unexpected.
How do you handle multi-destination trips so we’re not wasting days on bad routing?
This is where local knowledge really pays off. Costa Rica’s roads, weather, and regional layout mean that the order you visit places in and how you get between them can make or break a trip. Costa Rica Escapes sequences multi-region itineraries (say, combining the Osa Peninsula, Tortuguero, and Arenal) so that travel days are realistic and you’re not losing half a day to an avoidable transfer.
Family & Multigenerational Trips
Can you plan a trip that works for a wide age range, grandparents and young kids together?
Yes, and it’s one of our favorite kinds of trips to design. Multigenerational groups need an itinerary that flexes: gentler activities and shorter travel days for grandparents and toddlers, with options to split off for more active outings when the rest of the group is up for it. Costa Rica Escapes also has first-hand experience with planning Costa Rica family reunion trips, which often involve exactly this kind of mixed-ability group.
Will you be honest about which activities aren’t a good fit for our family, instead of upselling everything?
Absolutely, and we’d consider it a disservice to do otherwise. Part of the Costa Rica Escapes approach is telling you honestly when a particular hike is too strenuous for your grandparents, or when a “family-friendly” tour really isn’t suited to a toddler. We’d rather you trust our recommendations than feel like everything is being sold to you. You can get a sense of this approach in our guide on what to avoid in Costa Rica on a family trip.
What are some tips for traveling to Costa Rica with kids?
Pack light, plan for downtime between activities, and don’t over-schedule the early days while everyone adjusts to the heat and the pace of things. The Costa Rica Escapes team has put together a full rundown in our guide to making a Costa Rica vacation with kids a breeze, and when you work with us, we build that pacing directly into your itinerary so you’re not figuring it out on the fly.
Which destinations in Costa Rica work best for families?
It depends on your kids’ ages and your group’s energy level, but regions like La Fortuna/Arenal, Manuel Antonio, and Guanacaste’s beach towns consistently work well for families because they balance kid-friendly activities with easy access to good lodging. We also have a full guide to the best beaches in Costa Rica for families if that’s a priority for your trip.
Honeymoons & Romantic Getaways
What makes Costa Rica a good honeymoon destination?
Costa Rica offers something a lot of honeymoon destinations don’t: the ability to combine genuine relaxation with real nature immersion, often in the same trip. You can wake up to birdsong in a boutique rainforest lodge, spend an afternoon at a hot springs resort, and watch the sunset over the Pacific, all without the trip feeling like a checklist. Costa Rica Escapes’ honeymoon and romantic vacation itineraries are built specifically around that balance.
Can a honeymoon itinerary include both upscale lodging and authentic nature experiences?
Yes, and we’d argue that’s what separates a memorable honeymoon from a generic resort stay. Costa Rica Escapes pairs boutique eco-lodges and higher-end accommodations with experiences that get you into the rainforest, onto the water, or off to a quiet stretch of coastline most travelers never find. Itineraries like our Secluded Caribbean couple’s trip and Tropical Paradise honeymoon are good examples of that mix.
How much does a Costa Rica honeymoon typically cost?
It depends on the length of your trip, the level of lodging, and how much ground you want to cover, but most Costa Rica Escapes custom honeymoon itineraries start in a similar range to our standard trips, around $1,800 per person, with the option to build in more upscale stays where it matters most to you. We’re glad to walk through a sample budget on a planning call, with no pressure to book.

Adventure, Wildlife & Ecotourism
Can a custom itinerary combine wildlife viewing, rainforest adventure, and beach time in one trip?
Yes, this kind of combination trip is one of the things Costa Rica does better than almost anywhere else, and it’s one of our specialties. A typical itinerary might pair a few days in a cloud forest or rainforest reserve (think hanging bridges, birding, or a guided night hike) with a stretch of coastline for surfing, snorkeling, or simply unwinding. Costa Rica Escapes’ adventure and nature itineraries show a range of ways we put that together.
Do your guides have real naturalist credentials, or are they just tour-script readers?
Costa Rica Escapes works with guides who genuinely know the ecosystems they’re walking you through, the kind of people who can identify a bird by its call or explain why a particular frog only appears after rain. That depth of knowledge is part of what we vet for when building relationships with local guiding partners, and it’s a big part of what makes a wildlife-focused trip memorable rather than just a checklist of sightings.
What’s the best way to see wildlife like sloths, sea turtles, and tropical birds in Costa Rica?
Timing and location both matter. In Tortuguero, for instance, green sea turtles nest from about July through October (August and September are usually busiest), while leatherbacks nest around March through May. Costa Rica Escapes can build your itinerary around what you most want to see, drawing on guides like our guide to where to see sloths, when and where to see sea turtles, and notable birds to look for. Getting the timing and location right is exactly the kind of detail that’s easy to miss without local guidance.
Can you plan trips for serious ecotourism travelers who want more than a surface-level experience?
Yes, Costa Rica Escapes works with travelers who want to go deeper, whether that means birding in cloud forest reserves, learning about conservation efforts firsthand, or visiting parts of the country that don’t see a lot of tourist traffic. Our ecotourism guide is a good starting point, and we can tailor an itinerary around specific interests like birding, conservation, or remote wilderness access.
Group, Corporate & Educational Travel
Can you plan trips for larger groups, like 10 to 20 travelers across multiple destinations?
Yes. Group logistics is where the value of working with an experienced planner really shows. Coordinating lodging, ground transportation, and activities for a larger group across several regions takes a lot of moving parts to line up correctly. There’s no fixed maximum group size; the larger the group, the earlier we need to start planning lodging, transportation and activities. Costa Rica Escapes has designed itineraries for groups of varying sizes and compiled our top group travel tips based on what we’ve learned along the way.
Do you offer documentation suitable for institutional or academic group approval, written agreements, itemized pricing, and safety protocols?
For educational and institutional groups, Costa Rica Escapes can provide the kind of documented itineraries, written agreements, and itemized pricing that program coordinators typically need for budget approval, along with information about safety planning and emergency contacts for the trip. If your group needs to align travel dates with an academic calendar or a specific program structure, we plan around that from the outset.
Can you plan a corporate retreat or incentive trip in Costa Rica?
Yes, corporate groups come to Costa Rica for the same reasons families and couples do: a change of pace, a genuine connection to nature, and experiences that bring people together outside the usual routine. Costa Rica Escapes designs corporate retreats and incentive trip itineraries that combine team-building activities with the kind of authentic experiences that make a retreat memorable rather than just another conference in a different location. You can also see our broader thinking on planning corporate retreats and business trips to Costa Rica.
Are group trips structured enough to handle both organized programming and free time?
Yes, that balance is something we plan for deliberately. Group trips work best when there’s a clear structure (so no one is left wondering what’s happening next) but also room for people to recharge or explore on their own. Costa Rica Escapes builds that rhythm into the itinerary itself, rather than leaving your group leader to manage it on the ground.
